The Kaufland Seller Portal explained, step by step

The Seller Portal is where every Kaufland seller works. It lives at sellerportal.kaufland.de, even if you never sell on Kaufland.de: one portal covers all nine marketplaces. This article walks through it in the order you use it in a normal week. Menu names are in English, as the Seller University uses them, as of 30 September 2026.

Step 1: the Global Dashboard

After logging in you land on the Global Dashboard. It shows all your active sales channels, revenue, the status of each channel and open tasks, without switching between countries. Kaufland marks it as beta. Two parts worth knowing:

  • Buy Box share: how often your product won the Buy Box when it was viewed, as a percentage. Kaufland only shows it if you are the only seller of the product or more than five sellers offer it.
  • Executive Summary: a weekly overview generated by AI, with key figures and suggestions, such as products close to winning the Buy Box.

An AI assistant called Ailora explains your account status and helps with open tasks in the Task Center.

Step 2: orders and the shipping confirmation

Under Order management, Manage orders, you see every order. Here you mark an item as shipped with “Mark unit sent”, with a tracking link and carrier name. You can also confirm shipment through the API or a connected tool.

Without a shipping confirmation Kaufland cannot release your revenue, and Kaufland expects at least 80% of your shipments to be trackable. Cancellations can only be made by you or by Kaufland’s customer service, not by the buyer. Seller-related cancellations count towards your cancellation rate, which Kaufland wants below 1% a month.

Step 3: offers and prices

Under Offer management you manage price, stock, processing time and minimum price per offer. For each sales channel the offer is in that channel’s language and currency, so the same product can have a price in euros on Kaufland.fr and in złoty on Kaufland.pl.

Two further pages set prices for you:

  • Smart pricing (Offer management, Pricing rules): choose between Smart Pricing Standard and Smart Pricing Plus. The choice applies to all your sales channels. Filling in a minimum price on an offer switches Smart Pricing on for that offer.
  • Price adjustments (Offer management, Price rules): rules that change prices or minimum prices in bulk. There are three templates, and Kaufland says a rule can take up to 30 minutes to apply.

Step 4: reports

Under Reports you download overviews. Kaufland lists:

  • Price competitiveness and Competitor Comparison;
  • Your Bookings (revenue and account movements) and Your Sales (orders as CSV, with shipping details);
  • Tickets and Cancellations;
  • Your offered articles;
  • Not found EANs, Invalid items and product data improvement exports.

Not found EANs and Invalid items are worth a weekly look if you sell in several countries: they list EANs without product data and items with missing mandatory attributes. You can check a code with the EAN check.

Step 5: money under Accounting

Under Accounting you see what has been released. You transfer released funds yourself, at any time, in the Accounting section of the Seller Portal. Kaufland releases your revenue 14 days after delivery (with a tracking number) or 21 days after the order is marked as shipped (without one). An open ticket pauses the period.

Payouts are made in the channel’s local currency. For Czechia and Poland you can choose to be paid in euros. Kaufland’s invoice for the previous month appears on the 1st of each month, and the base fee is taken from your available balance at the end of each month. The payout date calculator works out when a given order is released.

Step 6: tickets

Under Ticket management, Tickets, you answer buyer questions. Kaufland asks you to answer every ticket within 48 hours on working days. Kaufland lists free ticket translation as part of its Global Marketplace offer, which helps with buyers in countries whose language you do not speak. Since 1 February 2026, if a ticket is about a return, your first reply must contain a valid return option. Otherwise Kaufland cancels and refunds the order at your expense. The details are in our article on Kaufland returns.

Three settings matter most when you sell across borders:

  1. Translation & transfer: switches on Kaufland’s free translation of product data into the language of each channel, except German. For Kaufland.de and Kaufland.at, you supply German product data yourself.
  2. Shipping groups: the name must match the “shipping group” column in your offer file exactly. The delivery time buyers see is processing time plus transport time, in working days; Saturday does not count.
  3. Tax details and legal notice: Kaufland checks your VAT ID via VIES and at the German Federal Central Tax Office. If your legal notice and tax registration do not match exactly, the sales channel can be hidden automatically.

Step 8: API keys

Under Settings, API (sellerportal.kaufland.de/settings/api) you create a client key and a secret key. These connect software to your account through the Kaufland Seller API. Kaufland warns that lost keys cannot be retrieved; you can only create new ones, after which every tool that used the old keys needs the new pair.

The portal and Sellgrip

The Seller Portal is where you set things up with Kaufland. Sellgrip reads the same data through the Seller API and puts it side by side: orders with their shipping deadline, tickets with the 48-hour clock, and payouts with the day each order is released, for all nine marketplaces at once. Anything you change in Sellgrip goes to Kaufland through the same API.

Frequently asked questions

Do I need a separate Seller Portal for each country?

No. One account and one portal cover all Kaufland marketplaces. You switch sales channels on in your account.

Where do I find my Kaufland API key?

In the Seller Portal under Settings, API. You get a client key and a secret key. If you lose them, create new ones there.

Where can I see whether I have the Buy Box?

The Global Dashboard shows your Buy Box share, and the Price competitiveness report shows prices against the competition.

How often can I request a payout?

At any time: you transfer released funds yourself in the Accounting section of the Seller Portal.
