What the month-end export contains
Accounting journal
One row per order line with document date, order number, item, gross, shipping, VAT, net, Kaufland fees and cost of goods. 20 columns in all.
VAT summary
Sales by country, VAT rate and who owes the VAT, with documents, gross, VAT and net. A German VAT return is laid out the same way.
Cancellations and returns kept apart
They are listed separately as revenue reductions and are not subtracted from sales. Returns count at the amount refunded.
Kaufland as the VAT debtor
Where Kaufland owes the VAT, every row says so and those sales form their own group. You owe no VAT on them.
Blank, not zero
If a purchase price or fee rate is missing, the cell stays empty. A 0.00 would throw off every total over that column.
In your language
Column names and file names follow your dashboard language. In English the files use commas and a decimal point, in the other languages semicolons and a decimal comma, as Excel expects there.
How the month gets to your accountant

Pick the month
In the profit and loss, under “Month-end close”, you pick the month, and the last completed one is preselected. Sellgrip shows the totals and notes first.

Read the notes
Under “Please note”, Sellgrip lists what the file lacks, such as missing purchase prices or a month still running. The same notes appear at the end of the VAT summary.

Download
“Download accounting journal” and “Download VAT summary” save the two CSV files. They open straight in Excel, and a product name is never read as a formula.
Why the Kaufland month is not the payout month
Sellgrip books by order date in Berlin time, because that is the document date. Kaufland’s payout for the same order can fall in the following month.
Sellgrip does not produce a DATEV batch, as that needs your adviser number and chart of accounts. The journal is the basis your accountant maps to their accounts.
- VAT on Kaufland’s invoices
- Kaufland charges commission and the base fee plus VAT. The journal has its own column for input VAT on fees.
- Release after 14 days at the earliest
- Kaufland releases your revenue 14 days after delivery at the earliest. The payout date calculator shows the day for a single order.

What you see in Sellgrip
- Month-end panel
- A panel at the bottom of the profit and loss with a month picker and the two downloads. Next to it, a note says the document date is the order date, Berlin time.
- Table by country and rate
- Country, VAT rate, VAT debtor, documents, gross, VAT and net, with a total. On a phone, one block per country.
- Revenue reductions
- Under “Revenue reductions”: cancellations, returns and refunds with the number of documents and the amount, kept apart from the totals above.
- OSS and distance sales
- On Business, the overview tells you when your distance sales to other EU countries approach or pass €10,000 a year (§ 3c UStG). From then on, the destination country’s VAT applies.
Questions about Accounting
Is this a DATEV export?
No, it is two CSV files for Excel. A DATEV export is planned.
How far back can I export?
Up to twelve months on Pro, with no limit on Business.
Can my accountant download it directly?
Yes, with a login of their own and the Accounting role, which can read and download but change nothing. A team with roles comes with Business.
Why do some rows have no cost of goods?
No purchase price is on file for those items. The cell stays empty, and “Please note” says how many lines are affected.
When is a month complete?
After its last day. For a month still running, Sellgrip says that orders, cancellations and returns may still be added.
What about sales in Czechia and Poland?
They count in euros, at the ECB rate of the sale day. “Please note” says how many items that applies to. For the VAT return, your accountant checks the German BMF monthly rate.
